First steps with Cronforce: A quick How-to guide

Find below a quick guide of the minimal set of configuration you need to do in order to use Cronforce. And the beauty of this is that you can start time tracking in just a few minutes.

  1. Set Company Settings – just go to Settings menu and walk through each section to validate default values and change if needed.
  2. Invite your Colleagues – this could be done by clicking on Invite Users in Settings > Users
  3. Create a Project (Timesheets) – you can either use the default project we created for you or create one of your own. Simply go to Organisation > Projects and press Create.
  4. Create a TimeOff project (TimeOffs) – again you can use the default projects we created for you or create your own. To create projects simply go to Organisation > Projects (alternatively TimeOffs > TimeOffs list) and press Create. Do not forget to mark the project as TimeOff one. One hint for Vacation projects: you can create more than one as they usually cover a certain year e.g. Vacations 2014, Vacations 2015. You also need to pre-select the Vacations projects in Settings > Vacations Projects to activate them for us.
  5. Assign your Colleagues to a Project – just click on a Project and then press Team Management at the bottom of the page. Pressing the Add button in the list of employees adds them to the team and the change is active immediately.
  6. Assign Timesheet Approvers – click on a Project and then press Team Supervisors Management. You can then assign as many supervisors as you want per employee. if you do not want to set approvers then just set Auto approval if no supervisors in Settings > Time.

Your 5 minute Guide to Time Tracking

Again, like said in our previous 5 minute guide on tracking timeoffs – it will actually take less than a minute. The reason being that when you register for a free trial, Cronforce comes preconfigured with a test time tracking project.

In order to try it out you just have to go to Timesheets > Submit Timesheet, press on Add Project button and select the available project. Cronforce creates a timesheet line where you can type a comment and spent time. Once ready you can press on Submit and the times will be auto-approved.

We noticed that people ask us quite similar things so we have compiled a list of common questions and answers.

May I configure supervisors for timesheet approval?

Yes, in order to do this you have to configure the supervisors for each project. Go to Timesheets > Project Overview and select a project. Easiest will be if you just select the existing Test project.  Then scroll down the list of Test project details and press Team Supervisors Management button. There you can select one or more supervisors for each employee. This means that when a user submits its timesheet and has a supervisor configured, it will be shown in status Pending Approval. The supervisor will also get a notification and can approve or reject the timesheet in Timesheets > Approvals.

What if I want to create my own time tracking project?

You just have to go to Organisation > Projects and press on Create button. Once presented with the project creation screen do the necessary inputs like project name, code, start date, project leader (is like admin for a project). Be careful not to check “Set as timeoff project” as it can be used only for vacations and absences (more about this in our 5 minute guide on tracking timeoffs). You can also create tasks, enable comments and many other fine tunings.

What if employees should have a limit of the bookable hours per day and week?

Well, then we advise you to check out our How to set up working time limits for your employees.

Is there a way to get a report of the employee times?

Of course, just got to Timesheets > Reports and click on the pre-defined report for you. If this is not enough you can either create a new report or edit the existing one. May I run a timer to clock time to the minute?

Yes, you can find it in the upper right corner, just click on the stop watch. When you stop it time will be then automatically saved in your timesheet. Last step is to submit your timesheet at the end of the week. Feel free to check also our stopwatch tutorial.

Do you offer clock-in/out too?

Yes, you can set up the system in just few minutes to clock the entry and leave time of your colleagues. We also put together a detailed article of all Clock-in/out features.
