Your 5 minute Guide to Time Tracking

Again, like said in our previous 5 minute guide on tracking timeoffs – it will actually take less than a minute. The reason being that when you register for a free trial, Cronforce comes preconfigured with a test time tracking project.

In order to try it out you just have to go to Timesheets > Submit Timesheet, press on Add Project button and select the available project. Cronforce creates a timesheet line where you can type a comment and spent time. Once ready you can press on Submit and the times will be auto-approved.

We noticed that people ask us quite similar things so we have compiled a list of common questions and answers.

May I configure supervisors for timesheet approval?

Yes, in order to do this you have to configure the supervisors for each project. Go to Timesheets > Project Overview and select a project. Easiest will be if you just select the existing Test project.  Then scroll down the list of Test project details and press Team Supervisors Management button. There you can select one or more supervisors for each employee. This means that when a user submits its timesheet and has a supervisor configured, it will be shown in status Pending Approval. The supervisor will also get a notification and can approve or reject the timesheet in Timesheets > Approvals.

What if I want to create my own time tracking project?

You just have to go to Organisation > Projects and press on Create button. Once presented with the project creation screen do the necessary inputs like project name, code, start date, project leader (is like admin for a project). Be careful not to check “Set as timeoff project” as it can be used only for vacations and absences (more about this in our 5 minute guide on tracking timeoffs). You can also create tasks, enable comments and many other fine tunings.

What if employees should have a limit of the bookable hours per day and week?

Well, then we advise you to check out our How to set up working time limits for your employees.

Is there a way to get a report of the employee times?

Of course, just got to Timesheets > Reports and click on the pre-defined report for you. If this is not enough you can either create a new report or edit the existing one. If you get stuck with the report generation just drop us a line at support@cronforce.com. We will do them for you in no time. Besides this you can dive in our reports tutorial.

May I run a timer to clock time to the minute?

Yes, you can find it in the upper right corner, just click on the stop watch. When you stop it time will be then automatically saved in your timesheet. Last step is to submit your timesheet at the end of the week. Feel free to check also our stopwatch tutorial.

Do you offer clock-in/out too?

Yes, you can set up the system in just few minutes to clock the entry and leave time of your colleagues. We also put together a detailed article of all Clock-in/out features.

Excel Timesheet – Is It Really Free?

Excel timesheets may seem like the easiest solution for tracking the time of your employees. Everybody knows how to use Excel, after all, and in addition to everything – if you have the Excel program (as many do), these timesheets are free. A large number of companies, some of them big, indeed still use Excell timesheets for their time management.

Excel timesheets are certainly a very simple solution. But are they really “free”?

While it’s true that you will not have to pay anyone to use Excel timesheets, producing them takes a certain effort – you can either use precious worker’s time to create the sheet or use a ready-made template you can find on the internet. But which template to use? Which would fit your schedule and needs?

But that’s ok. You found the right Excel timesheet format for your organization. You still have to make sure that your entire workforce uses it correctly – filling times out, copying-pasting the information around, putting information in the right way and then sending them to be approved at the right times.

More than that – you need someone to manage the timesheets. To process them, check if they are indeed correct, check that the times are plugged in the right way, consolidate and standardise the information, correct and manage any errors that were made, and hopefully put all in correct order to make sure entries are organised and subsequent. Who would that person be? Probably one of your human resources or project managers. None of these guys’ time is any near cheap.

But can you make any sense of this data? Can you actually produce any sort of insights out of the timesheets you have? Can you aggregate these timesheets into the state of time management in a whole project? Can you figure out if holidays are being taken correctly overall? Can you translate these incoming timesheets into finances? Yes, you probably can. If your company is small, with one or two employees, this task is  probably going to be rather easy. But what do you do when you have tens of timesheets to process every week? Or more?

You can always call your Business Intelligence team. But are you sure you want to use their expertise and time just to manage the time and attendance of your company?

Excel timesheets are “free”, but their real cost can be far from cheap. If you want your company to scale, if you want to free your employees to focus on tasks that actually earn your company money, Excel timesheets are probably not the right choice. You need an efficent and modern solution that is designed for companies that want to compete.

NEXT B2B Forum Frankfurt

 

Last Thursday, the 13th of November, the Cronforce.com team flew over to Frankfurt for an event of a new kind – the NEXT B2B FORUM organised by the Global Shapers Hub Frankfurt of the World Economic Forum. The evening event took place in the stunning BLOOMBERG office and we very much enjoyed the 360 degree night skyline from the 18th floor.

One of the main entrepreneurial learnings for an emerging  high growth business  is to stay as close as possible to your customer. And this event has managed to deliver exactly that for us. Along the impressive discussions with provocative titles such as “Software is eating the Banking Industry – be prepared or be disrupted” and high profile keynotes from BCG and ECB, we managed to talk to one of our major target groups. And we pretty much liked what we heard – time tracking is needed but always a pain and way to inefficient. The showcase of our time sheet cloud platform and engaging visualisation of company efficiency KPIs received a few WOWs and not surprisingly generated new friends and several introductions.

It was a truly memorable evening with truly engaging speakers and audience so we look forward to the next event.
